Position Summary The Service Operations Administrator of the Service Department provides and maintains a high level of customer service while coordinating in the day-to-day operations of the Service Department. Position Responsibilities Responsible for directing and coordinating service department schedule and operations Primary contact for all service department customers Answers service-related calls and directs customers in a way that ensures their problem or question is properly resolved Understands and communicates safety policies as they relate to our customers Communicates regularly with customers in a helpful, respectful and professional manner Communicates with suppliers and vendors in a professional and respectful manner Seeks market growth opportunities by promoting marketing campaigns and participating in sales efforts Learns and maintains a thorough understanding of fuel oil operating appliances and systems Assists with inventory and margin monitoring and management Provides support to the Customer Service team and other company employees as needed Generates service department performance reports and metrics Understands, follows and advocates company policies and local, state and federal rules, regulations, and codes pertaining to the safe installation and service of oil equipment while creating relationships with state and local authorities Suggests and deploys processes to increase customer satisfaction, efficiency, value and/or lower costs Involved in special projects from time to time, depending on business need Responsible for any other tasks and duties as assigned, which may or may not relate to the normal scope of this position Required Knowledge, Skills and Abilities Minimum of one (2) years of experience working in an administrative capacity Minimum of two (2) years of experience dealing directly with customer service Graduate of High School or equivalent (college level coursework preferred) Self-motivated with a high degree of comfort working autonomously in managing and planning day to day tasks and priorities Basic understanding and prior experience in account set-up, billing, accounting and analyzing data Strong sense of professionalism and ability to maintain discretion Well developed verbal and written communication skills Demonstrated ability to work as part of a team Proficient user of Microsoft Office (prior experience with customized internal computer programs ie. petroleum software application) preferred Must meet employment eligibility standards set for criminal and other background checksJob Type: Full-timePay: $22.00 - $25.00 per hourBenefits: 401(k) 401(k) matching Dental insurance Employee assistance program Employee discount Flexible spending account Health insurance Life insurance Paid time off Referral program Vision insuranceSchedule: Monday to Friday On call Weekend availabilityWork Location: One location
