Executive Assistant--needed for a top-ranking Real Estate Team in
the Attleboro, MA area. With the help of this individual, the
agents are hoping to focus more on selling Real Estate and much
less on the back-end/daily administrative tasks. We are looking for
an exceptional candidate who is willing to go above and beyond -
just like other members of this team.
The ideal candidate will possess a background in Real Estate;
however, this is not a requirement. The candidate should have a
proven track record of--creating and implementing systems and
procedures--in an office atmosphere. This person will have a strong
sense of urgency and must enjoy "to-do lists". The ideal candidate
will work well with minimal supervision, gradually taking on more
responsibility and leadership within the team.
Compensation:
--- Salary Range: $60,000 - $70,000
--- Generous Paid Time Off (PTO)

Responsibilities:
--- Manage and oversee the complete administrative function of
Thompson Realty Group
--- Extensive administrative tasks and responsibilities: mail,
office supplies, printing, distributing documents, uploading
listings onto MLS, email blasts
--- Maintain current ordering system of business-related
requests
--- Ensure Agent stays on schedule by leveraging their time
--- Secure confirmation of all attendees for meetings
--- Manage scheduling and calendar appointments
--- Act as gatekeeper to Agent to avoid unnecessary interruptions,
which includes managing agent's email and incoming office calls,
which includes some sales calls that you will take messages for
later processing with the Inside Sales Team. For pending deals in
process, this may also include personally processing calls/emails,
and leaving the top priority items for the agent to process once
they return to the office
--- Organize and maintain database to include scheduling important
events
--- Answer phones, take messages, prioritize follow up and conduct
your own follow-up
--- Organize and facilitate client appreciation events
--- Provide peace of mind to Agent via reliability and consistently
completing all tasks
--- Creating a feedback loop to facilitate peace of mind to Agents
acknowledging task completion
--- Working alongside Technology Director ensuring all systems and
processes are always running seamlessly
--- Maintain clear, direct, and concise communication with
Agent
--- Accurate and concise written communication skills
--- Research vendors for products or services, prepare price
comparisons, and submit suggestions for improvements
--- Effective execution of the "contract to close" process
--- Effective execution of the "list to offer" process
--- Oversee/manage other team members when necessary and
requested
Qualifications:
--- Expertise in all Microsoft Office applications and
GSuite/Google Workspace, MLS a plus!
--- Ability to learn complex systems with an "IT/technology"
eye
--- Social media posting experience
--- Strong interpersonal and communicative skills
--- Strong written communication skills
--- Excellent organizational skills with an ability to prioritize
and ensure efficient task completion
--- Upbeat, positive, collaborative attitude. Ideas are strongly
welcomed and encouraged!
--- Maintain a big-picture vision and understand the team's
ultimate vision
--- Possessing flexibility and understanding for moving targets of
a growing operation. Being able to provide honest feedback, assist
with the building blocks, and be flexible when things quickly
change is essential
--- Discretion and confidentiality
--- Must be thorough and LOVE to-do lists
--- This person must have a CAN and WILL DO attitude. This person
will do anything and everything they need to in order to free their
Agents up to sell
