About usHousing Opportunities Corporation Maintenance SupervisorFLSA Status: ExemptDate: October 2021Position Summary:The Maintenance Supervisor works in support of the Director of Facilities Management to maintain and improve the physical attributes of all the properties within WDC's portfolio, The buildings consist of newer construction, 2020 to historic properties built over 100 years ago. The Maintenance Supervisor is expected to work with the Director of Facilities Management to manage all aspects of the facilities, The portfolio consists of 773 housing units titled in 24 separate ownership entities comprising 77 buildings of senior housing, family housing and housing for the disabled. The Maintenance Supervisor ensures the maintenance and janitorial staff (18+) perform on demand service as well as recurring and preventative maintenance needed to maintain the all components of the properties, including Site, Exterior, Common Areas, Building Systems and Units.This position requires an individual who is detail oriented and able to organize a complex number of tasks. The Maintenance Supervisor should be familiar with maintenance protocols and a working knowledge of construction means and methods. This position requires a solid understanding of technology.Reports to: Director of Facilities Management Essential Duties and Responsibilities:

  • Ensure that units are maintained properly and that service orders are handled in a timely and efficient manner.
  • Provide technical guidance and leadership to a staff of 18+ technicians and custodians.
  • Schedule routine work; set and adjust priorities for the team on a daily, weekly and monthly basis.
  • Assist in the oversight of general contractor on projects to refurbish or renovate properties requiring outside contractors.
  • Participate in all property inspections and ensure all properties pass inspections according to their specific standard and compliance requirements.
  • Perform detailed inspections of properties and generate a comprehensive list of corrections.
  • Monitor the work of vendors to ensure they fully complete scope of work.
  • Maintain an organized and properly stocked maintenance shop inventory.
  • Maintain inventory and manage procurement to reduce costs and remain within or exceed budget expectations.
  • Ensure workplace safety through the enforcement of all applicable safety rules and requirements.
  • Assist with the scheduling of appropriate skills and training, either directly or through a third-party, to ensure staff are likely to succeed; this also involve refresher classes on OSHA, ergonomics and other workplace safety programs.
  • Identify training needs, schedule training and maintain requisite certificates and certifications (Lead, Boiler etc.).
  • Report any unusual or difficult resident calls or complaints to supervisor.
  • With guidance from the Director of Facilities Management, train, develop, mentor and hold staff accountable to provide good customer service and work efficiently; conduct performance reviews and provide feedback and corrective action when necessary.
  • Conduct orientation and training for staff; directly monitor employees' performance through frequent visits to all properties of responsibility.
  • Determine the on-call schedule.
  • Must be on-call to handle off-shift and emergency situations.
  • Complete required reports on a timely basis.
  • Represent and serve the mission.Other Responsibilities:
    • Prepare for and participate in inspections of properties by outside agencies such as HUD, Rhode Island Housing, local fire departments and others.
    • Maintain the comprehensive Computerized Maintenance Personagement System (CMMS) and other record keeping as directed.
    • Maintain vacancy database to ensure all units accurately meet the ready date for move in.
    • Evaluate and promote efficient technology solutions.
    • Assist Director of Facilities Management with strategic planning.
    • Coordinate with Development team for pre-development and post-development transition needs.
    • Point of contact for any service needs from nonprofit entities that have retained us as consultant.Education and Experience:
      • High school degree or equivalent.
      • 5 years of progressively responsible positions in facilities, with 2 years of supervisory experience, preferably in a multi-unit housing environment.
      • Valid Driver's License and Insured vehicle. Safe driving record.Knowledge, Skills and Competencies:
        • Client focused.
        • Knowledge and familiarity with residential properties.
        • Working knowledge of electrical, plumbing and HVAC (heating, ventilation and air conditioning) systems, and water heater replacements.
        • Strong verbal communication skills and an ability to diffuse conflict in stressful situations.
        • Good problem-solver.
        • Detail oriented.
        • Provide day-to-day leadership presence for maintenance and capacity for motivating and supervising staff in a fast-paced work environment.
        • Proven interpersonal skills.
        • Flexible/Adaptable: ability to work patiently in an environment which can be challenging.
        • Comfortable working in units with diverse populations who have a variety of lifestyles.
        • Able to respond to emergency repair situations and work on-call.
        • Knowledge and experience with REAC inspections desired.
        • Some proficiency with Microsoft Office suite is desired. Proficiency with other technology tools desirable.

At times areas are not well lit and may not meet cleanliness standards. Protocol for safety and security is a priority. Occasional work after normal business hours. Responses to emergency calls may occur during the night and involve travel in unsafe areas or adverse weather conditions. Use of tools and maintenance equipment.
