Summary: Under general direction of the Manager of Supply Chain, maintains necessary supply inventories to meet anticipated needs for operating rooms. Encourages standardization and ensures accurate and sufficient inventory of supplies are maintained for the operating rooms. Places and expedites orders; researches and reconciles product or pricing discrepancies. Maintains related documentation and records. Functions as an integral part of the supply chain by monitoring key supply metrics and spend analytics. Actively participates in the Lifespan Value Analysis programs. Supervises Inventory Specialists if assigned to RIH or Inventory Specialists, Team Leader Receiving, Receiving Clerks and Stock Clerks if assigned to TMH; ensures established quality and productivity standards are met or exceeded. Responsibilities: Participates in the interviewing and selection of staff. Schedules, trains, assigns work, and evaluates performance of staff. Recommends need for corrective action up to and including termination as appropriate. Collaborates with the manager to develop and implement in-service training programs to enhance staff job performance. Coordinates annual mandatory education and training activities. Coordinates and prioritizes daily stock activities within the operating room. Provides assistance to staff from other affiliates in the coordination of lending and usage of medical and surgical supplies and equipment as appropriate. Maintains inventory of supplies in multiple stock locations throughout the department. Monitors utilization and requisitions replacement items as necessary to maintain predetermined par levels. Performs daily stock verifications. Prepares related reports and makes necessary adjustments to records. Anticipates need for and ensures adequate supplies are available for surgical cases. Establishes and maintains necessary control measures to maximize supply availability, fill rates and inventory turns. Monitors usage of inventoried supply items; recommends discontinuance of certain inventory items where infrequent usage is demonstrated. Responsible for the coordination of a Medical Surgical annual spend of up to 35 million dollars in the Operating Room. Coordinates fiscal year-end physical inventory with department staff and representatives from corporate finance department. Ensures year-end adjustments are within established supply management or inventory control standards. Coordinates removal and return of recalled products upon notification of vendor recall. Coordinates with purchasing department and/or suppliers to facilitate emergency delivery of medical and/or surgical supplies. Coordinates work of staff to maintain efficient systems of inventory and supply receiving, processing and distribution of supplies throughout the operating room on all shifts. Develops and maintains an effective work group to ensure operating room supply chain operations are provided in accordance with established policies and procedures, applicable laws, rules and regulations. Assists employees in resolving work-related issues; resolves conflicts on shift as necessary such as authorizing emergency requisitions and rearranging work priorities to accommodate emergency requests from management staff. Ensures adherence to standards established by outside regulatory bodies for operating room supplies (i.e. Joint Commission on the Accreditation of Healthcare Organizations). Functions as operating room liaison to expedite invoice payments as necessary; ensures correct application of cost center/object code. Participates in the Lifespan Value Analysis programs with consideration for Lifespan's mission, its values and its key business objectives. Provides sponsorship to the function by identifying and recommending resources required to achieve the operating results and advocates for them during resource allocation. Provides input into the development of site-specific capital and operating budgets. Works closely with Purchasing Agents to accomplish projects related to opportunities identified and conducts ongoing monitoring of project performance to ensure results are achieved and sustained. Provides assistance in engagement of key stakeholders (i.e. clinicians and physician partners) and aids in influencing process outcomes. Develops Contract Market Profile Analysis, engages key stakeholders and physician partners to effectuate project strategy once service-line contract opportunity or practice variation opportunity have been identified. Provides key market data to influence decisions on project objective and bring about consensus. Identifies potential cost savings opportunities and provides value analysis - defines potential ROI, and cost impact as it relates to revenue. Other information: BASIC KNOWLEDGE: Associate's degree in Surgical Technology with at least 5 or more years in clinical practice or a Bachelor's Degree with commensurate Operating Room/medical experience. EXPERIENCE: Two years progressively more responsible related experience in supply management or operating room supply management, with demonstrated effective leadership skills as well as effective oral communication and interpersonal skills required. Interpersonal skills to interface with individuals at all levels of the Organization; including senior leadership and physician chiefs required. Ability to work with vendor representatives at all levels to achieve the results necessary for desired outcomes required. Demonstrates the ability to understand all facets of operations in an OR environment and be able to incorporate that knowledge into effectuating decisions from suggestion to purchase. WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS: Sits, stand, and walks intermittently throughout the day. Must be able to inventory medical supplies and surgical equipment. May lift up to 50 pounds.
